AFC (Actual Fuel Cost) Repayment Rate Explained

The AFC repayment rate requires a linked fuel card to enable this reimbursement type on a driver’s account. It takes into consideration the cost of the fuel purchased by the business and how economically the driver uses their vehicle for the calculation.


The calculation is based on accumulative totals of all the mileage submitted and fuel purchased since the driver started using MileageCount. It is not based on one individual month’s mileage.


The AFC repayment rate is worked out using the below calculation:

If a driver doesn’t submit or have their claim accepted when the company rolls into a new period they get charged the full fuel cost, this will then be added to the ‘paid to date’ column and will be recalculated the following month to give them back the difference.



See below example:


 


The above driver was charged the full fuel cost in December (£123.76) as you can see all of their mileage totals were 0 and their paid to date in December went up to £131.47 (£123.76 + £7.71 from previous months). Then when the driver submitted all outstanding mileage the AFC was recalculated with the new TOTAL figures (top highlighted line) to give her a refund of £111.05.
